It is the responsibility of the buying office to ensure that stock shortages are kept to a minimum in order to provide customers with the highest service level. NVS purchase from over 600 suppliers on a regular basis and place approximately 1500 orders to these suppliers and manufacturers each month. Product lines are reviewed on a weekly basis to assess whether an order is required. A bespoke computer system automatically generates orders for over half of there 12,000 lines currently held to the required levels. Each supplier product list is split into two, products where the sales generally remain steady throughout the year and do not fluctuate are ordered automatically, and those products where the sales are erratic, usually for seasonal reasons, are ordered manually.

Unfortunately, it is inevitable that stock shortages occasionally arise, and thus a considerable amount of time is spent contacting suppliers and and manufacturers to establish expected delivery dates. This information is then recorded allowing the customer care team to provide customers with the latest, accurate, stock status information.

In addition to the currently stocked products, NVS also orders approximately 500 special orders a month. Special order requests vary considerably, for example, there may be a request for a different size or strength of a stocked item, alternatively, there may be a request for a product that that has never been purchased previously and in some instances may never be purchased again. Regardless of the request, the Specials Order department will endeavor to obtain any item required.

All special items are non-returnable and non-discountable. Many medical items can be obtained within two to three working days. However, as a general rule, special orders take from seven to ten working days for delivery.
